Position Summary:

Provide administrative support and paralegal services for one or more law school clinics. Administrative support and paralegal responsibilities for a working law office within the law school. General administrative support to one or more clinical program faculty.

Duties and Responsibilities:
  • Provide administrative support and paralegal services for one or more law school clinics. Duties include database management; assistance with grant report preparation, providing guidance to students on administrative matters within the clinic, ensuring that requests for translation services are timely handled and that communication with Limited English Proficient clients are managed professionally and efficiently; produce training materials for new students Teach students the office systems of file maintenance, in individual meetings and in the classroom setting. Manage case-related travel arrangements and other expense reimbursements for clinic students and clinic faculty.
  • Administrative support and paralegal responsibilities for a working law office within the law school. Work involves being the primary point of contact for various constituencies who interact with the clinic. Responsible for accurate and timely case database management and file maintenance. Tasks include a)drafting of correspondence, pleadings and reports; b)conducting client intake; c)maintaining communication with clients, regular contact with opposing counsel, vendors, courts and administrative agencies (including court clerks, officers and officials; d)creation and maintenance of files and forms (both in hard copy and digitally); e)filing pleadings electronically in various courts; and f)assisting clinic faculty, staff and law students in managing the office and representing clients. Supervise students in their maintaining client files. Monitor equipment usage and functionality to ensure that Xerox, fax and other equipment operates properly and is available when needed. Ensure that the clinic office is neat, tidy and clean. Keep track of office supplies to ensure that necessary supplies are always available. Perform additional duties and assist with special projects as assigned.
  • General administrative support to one or more clinical program faculty. Tasks include preparing travel and other expense reports for clinic faculty, registering clinic faculty for conferences and coordinating travel plans related to conference attendance. Assisting clinic faculty in maintaining their bar memberships in multiple jurisdictions and in maintaining their memberships in various professional organizations. Assist clinic faculty with research, administration and preparation, assembly, and distribution of scholarship. Assist clinic faculty with their service work with both legal and non-legal non-profit organizations. Assist clinic faculty with the administration of their courses, including but not limited to the preparation, assembly, and distribution of syllabus, handouts and other class materials, reserving and arranging room assignments and coordinating interviewing and counseling simulations.
Minimum Qualifications:
  • Associates Degree or equivalent
  • At least three years work experience in a law office and experience supervising personnel.
  • Familiarity with pleadings, filing requirements of various courts and administrative agencies and the basic workings of a law office.
  • Excellent skills in file management, organization and law office computer programs such as Word, Excel, Access, PowerPoint, Lexis/Nexis, Westlaw, Blackboard and case management systems.
  • Excellent skills in using various courts’ electronic filing and docket systems as well as the law school’s Digital Measures program.
  • Must have a broad understanding of the Clinical Program’s mission of serving the poor and disenfranchised and be able to incorporate this understanding into daily work interactions.
  • Excellent written and verbal communication skills.
